ERP and inventory management for online stores: which system fits your business?
Which ERP fits your online store? Requirements, costs and store integration explained, with practical PrestaShop examples from sjmedia.
Quick answer
The right ERP for your online store must support your workflows reliably: from purchasing and stock levels to customer prices, orders, shipping and returns. What matters is not simply whether a store connector is available, but which data it transfers and how it handles your special cases. A new ERP does not automatically require a new ecommerce platform.

When products are maintained twice, stock figures disagree or orders have to be transferred manually, the desire for new software is understandable. We first look at the workflows. Where do problems arise? Which data are missing? What already works well? Only then can you decide whether you need a different inventory system or a better integration.
What is the difference between ERP, inventory management and an online store?
An inventory management system focuses on goods movements and stock: purchasing, warehousing, sales and the associated documents. An ERP system typically connects further business areas, such as finance, procurement or production. The exact scope depends on the product and selected modules. An online store handles digital sales. ERP stands for Enterprise Resource Planning. Fundamentals from SAP.
The label matters less than the actual functionality. An inventory system may be entirely sufficient for your business. A comprehensive ERP is of little use if your staff still have to perform key tasks in separate spreadsheets.
When is an inventory system worthwhile for an online store?
There is no universal revenue or product-count threshold. A small B2B catalogue with individual prices and multiple suppliers may be more complex to manage than a larger catalogue with simple processes. Focus on how often information is transferred manually and which errors result.
- You maintain products or prices in several applications.
- Your store and warehouse show different available quantities.
- Several sales channels share the same stock.
- Customer prices, purchasing and lead times can only be managed with additional spreadsheets.
- Partial deliveries, returns or cancellations require many manual steps.
These points justify a closer assessment, but do not mean you immediately need the largest ERP package. We suggest connecting the processes where errors are particularly costly or work is regularly left unfinished first.
Which requirements should retailers document first?
| Area | A specific question for your selection |
|---|---|
| Products and suppliers | Can one product have multiple suppliers, purchase prices and lead times? |
| Stock | Does the system distinguish physical stock, reservations and the quantity available to sell? |
| B2B prices | Do customer prices, quantity-based prices and packaging units reach the store correctly? |
| Order processing | What happens with partial deliveries, cancellations and refunds? |
| Catalogue management | Where are descriptions, images and translations maintained? |
| Data volume | How long do the initial import and typical daily changes take with your data? |
| Support | Who detects transfer errors and takes responsibility for resolving them? |
A demo with a few sample products does not show how an integration handles a large supplier catalogue. We recommend testing representative products and orders. For large catalogues, include realistic volumes of changes. It is not enough for data to arrive: they must arrive correctly and on time.
Do you have to leave PrestaShop to introduce a new ERP?
No. PrestaShop can connect to external applications through existing connectors or a custom integration. Its documented webservice API includes resources for products, customers, orders and available stock. Whether it covers all the required functions must be checked for each project. At sjmedia, we mainly work with PrestaShop. For an existing store, we therefore first assess what can be solved cost-effectively using the current platform. This experience is a starting point for our advice, not a reason to exclude every alternative.
Autolackpartner is one example from our work. We redesigned its existing VISMA ERP import module and developed a custom solution for automatically importing product images. This illustrates why we assess integration quality separately from platform choice. An inadequate interface is not automatically an argument against the store. Odoo, weclapp, Billbee and orgaMAX: which needs do they serve?
These solutions serve different purposes. We start with your needs: do you require a comprehensive ERP, centralised order processing or better customer support? An existing integration is a useful foundation, but does not promise every feature you need.
Odoo: existing PrestaShop connectors as a starting point
Ready-made connectors are available for Odoo and PrestaShop, including VentorTech’s offering. The provider lists products, images, stock, customers, orders, quantity-based prices and group prices. This can be a useful foundation when connecting several business areas and individual B2B workflows. We first assess the available functionality and extend the integration where required and permitted by the technical capabilities and licence terms.
The operating model matters: the VentorTech connector reviewed supports Odoo.sh and self-hosted Odoo installations, but not Odoo Online. The provider currently lists returns and refunds as planned functionality. These details must fit your workflows before you decide. Source: VentorTech Odoo PrestaShop Connector.
weclapp: cloud ERP with existing store integrations
weclapp lists native integrations for PrestaShop, Shopify and Shopware. It is worth assessing for retailers who want to combine product management and order processing in a cloud solution. We check the supported store version and pricing, stock and order functions against your specific requirements. Source: weclapp product management and store integrations.
Billbee: order processing across sales channels
Billbee is particularly relevant for multichannel order processing. Its official help documents integrations for PrestaShop, Shopify and Shopware 6. However, the PrestaShop instructions contain older, partly contradictory version information. They do not provide reliable confirmation of support for PrestaShop 8 or 9; we would obtain explicit confirmation before use. Retailers seeking centralised orders, invoices, shipping and stock should therefore include Billbee in their assessment. Any purchasing, production or complex B2B requirements need separate evaluation. We do not automatically equate this type of solution with a comprehensive ERP. orgaMAX: ERP and inventory management with an ecommerce extension
orgaMAX ERP lists PrestaShop, Shopify and Shopware as supported platforms for its ecommerce extension. It is therefore also a possible option for an existing PrestaShop store. Before selection, we check the product edition, store version, required add-ons and actual data flows supported. A general mention of PrestaShop does not automatically confirm compatibility with every current version. Source: orgaMAX ERP ecommerce.
Our recommendation: ask each shortlisted provider to demonstrate your most important workflows using the same test cases. A general ranking does not tell you whether an individual customer price or an order involving two suppliers is processed correctly. Provider information supports the existence of the integrations mentioned; their suitability for your project requires specific testing.
What applies to Shopify and Shopware?
Start with your workflows here too. For the specific store and inventory system combination, compare connector scope, additional apps, recurring costs and responsibilities. “Shopify-compatible” or “Shopware integration available” does not explain how your returns or customer-specific prices are handled.
If you are considering a platform change, include data transfer, testing, training and ongoing operations. We do not consider a more familiar interface alone a sufficient basis for switching.
Which costs belong in the comparison?
Compare ERP licensing, the connector, setup, data cleansing, customisation, testing and ongoing support. Record one-off and recurring costs separately. A low connector licence fee says little about total effort if important processes need to be added. Equally, custom development is not automatically necessary when an existing connector covers your requirements.
Frequently asked questions
Which ERP is best for an online store?
There is no responsible answer without understanding your requirements. Your purchasing, stock, pricing and order processes matter, as does demonstrated support through the store integration. Compare specific test cases rather than feature lists alone.
Is a connector enough to get started?
It can provide the technical foundation. You also need to map data, identify the system of record for each area and test failure scenarios. Whether adaptations are required depends on your workflows.
Can you keep your existing inventory system?
Yes, if it meets your business needs and can reliably provide and process the required data. Assess the integration before replacing two otherwise functioning systems at once.
