Connect PrestaShop to ERP: define the data flows

Stock, prices and orders: what to decide before selecting a connector and how to verify the integration.

Quick answer

A PrestaShop ERP integration needs authoritative data sources, transfer directions, identifiers and error handling. Test connectors against actual workflows, including retries and cancellations. An API provides technical access but does not replace agreed process logic.

An item appears available in the store although the last unit has already been reserved in the warehouse. “The systems are connected” does not explain the issue. A PrestaShop ERP integration must define which information is transferred, when it moves and how discrepancies are handled.

This article covers implementation. Our ERP introduction addresses system selection. Connectors can be compared meaningfully only after responsibilities and sources are clear.

Which system may change which data?

Assign an authoritative source to each data area. Product codes, prices, sellable stock and descriptions need not share a source. Conflicting edits must not silently overwrite each other without an agreed rule.

For example, prices could originate in ERP while editorial descriptions remain in the store. This is an illustration, not a universal recommendation. An additional PIM may own descriptions instead; our PIM decision guide explains that distinction.

What belongs in an integration specification?

Document six points for each important flow:

  • Source and destination: where does the information originate and where is it needed?
  • Identifier: how do both systems recognise the same item or order?
  • Trigger: does transfer follow an event or a fixed schedule?
  • Scope: which fields and statuses are actually transferred?
  • Failure handling: who is notified and how is a retry initiated?
  • Acceptance: what result must be visible on each side?

Operational staff should understand the description. Technical field names are insufficient if nobody agrees when an order counts as paid, ready to ship or complete.

Why is stock not one universal figure?

Physical, reserved and sellable quantities can differ. Define which figure the store needs and how other channels are considered. Faster transfer does not correct faulty business logic.

Test the last available unit against near-simultaneous transactions in a test environment. Observe what happens during an integration outage too. A safety-stock rule may help in some operations, but there is no universal quantity suitable for every catalogue.

What does PrestaShop provide technically?

The PrestaShop developer documentation describes a webservice through which external tools access store data. Implementation must check resources and write operations against the actual installation. This does not establish automatic compatibility with every ERP.

We value PrestaShop where an existing integration needs targeted extensions. A standard connector, middleware or custom extension may be appropriate. The choice depends on scope, supported versions and ongoing ownership, not simply the module’s purchase price.

Which failure cases belong in acceptance testing?

Transfer a test order successfully, then repeat the same attempt. The destination should not silently create another order. Also test partial cancellation, a missing product and interrupted connectivity where these cases belong to the agreed scope.

Useful errors identify the affected transaction and support a traceable correction. “Synchronisation failed” without context gives staff little help. Logs should support diagnosis without unnecessarily duplicating sensitive information.

How can the connection remain maintainable?

Record supported versions, ownership and test procedures. Recheck important flows after updates using defined cases. A working initial installation is not an ongoing support arrangement.

As a PrestaShop agency, we connect technical implementation with acceptance of actual operations. Your team should be able to identify and handle discrepancies. Our store API guide adds guidance on scope and cost planning.
